1. General Scope
This Acceptable Use Policy ("AUP") governs all electronic communications transmitted through the KJXX Systems
Corp. platform ("Service"). KJXX operates as a B2B construction project coordination platform, and all
messaging functionality is restricted to authorized users — project managers, site
superintendents, subcontractors, and vendor contacts — who have been onboarded through employer invitation,
signed service agreements, or vendor registration workflows.
This AUP applies to every user, administrator, and API integration connected to the Service.
2. Nature of Allowable Traffic
All email transmitted through KJXX is strictly transactional and system-generated. Permitted
message types include:
- Account activation and password reset confirmations
- Safety inspection results and hazard alert notifications
- Material delivery confirmations and estimated arrival updates
- Crew shift confirmations and schedule change alerts
- Daily project progress summaries
- Permit status and regulatory compliance updates
- Weather-related delay notifications
- Invoice generation and payment receipt confirmations
- Security alerts (failed login attempts, permission changes)
- System maintenance and incident notifications
The following are expressly prohibited:
- Marketing campaigns, promotional offers, or discount announcements
- Newsletter distribution of any kind
- Cold outreach to non-users or non-clients
- Lead generation or prospecting messages
- Advertising or cross-selling communications
- Any content unrelated to a specific platform event or user action
3. Consent & Opt-In
Recipient consent for transactional messages is established through one of the following mechanisms:
- Platform registration: Users accept the Terms of Service (which reference this AUP)
during account creation
- Signed service agreement: Subcontractors and vendor contacts are onboarded through
executed contracts that explicitly authorize operational notifications
- Employer-initiated invitation: Project managers invite team members who confirm their
email address during activation
Additional safeguards:
- Consent records (timestamp, IP address, method) are stored and available for audit
- No purchased, rented, scraped, or third-party lists are ever used
- All messages include
List-Unsubscribe headers per RFC 8058
- Users may manage optional notification categories through the Notification Preferences page
- Essential transactional messages (security alerts, billing, critical service notifications) cannot be
fully disabled, as they are required for account security and contractual obligations
4. Zero Tolerance Spam Policy
KJXX Systems enforces a zero-tolerance policy toward unsolicited or abusive email:
- Complaint rate threshold: Any account exceeding a 0.1% complaint rate is subject to
immediate sending suspension and manual review
- Bounce rate threshold: Accounts with bounce rates exceeding 5% are flagged for review,
and sending may be paused until the recipient list is verified
- Feedback loops: KJXX is registered with major ISP feedback loop programs. Every
complaint is ingested in real time and triggers automatic suppression of the complaining address
- List-Unsubscribe: All messages include one-click unsubscribe headers; removal is
processed within 1 hour
- Suppression enforcement: Hard bounces, complaints, and manual unsubscribes are added to
a global suppression list immediately and are never contacted again
Current operational metrics:
- Average complaint rate: < 0.03% (well below the 0.05% target)
- Average bounce rate: < 1.4% (well below the 2% target)
5. Prohibited Content
The following content is strictly prohibited in any message sent through the KJXX platform:
- Spam — unsolicited bulk or commercial email of any kind
- Phishing — messages designed to deceive recipients into revealing credentials or personal information
- Malware — attachments or links containing viruses, trojans, ransomware, or other malicious code
- Illegal content — any material that violates federal, state, or local laws
- Defamatory, harassing, or threatening material
- Content that infringes on intellectual property rights
- Deceptive subject lines or misleading sender identities
- Content promoting gambling, adult material, controlled substances, or financial schemes
6. Email Authentication Standards
KJXX enforces strict email authentication on all outbound messages:
- SPF (Sender Policy Framework): DNS TXT record published, listing only authorized
sending IPs
- DKIM (DomainKeys Identified Mail): 2048-bit key signing enabled for all messages from
kjxx.com
- DMARC (Domain-based Message Authentication, Reporting & Conformance): Policy set to
p=reject, with aggregate reports monitored weekly
- Alignment: Both SPF and DKIM alignment verified and passing
7. Monitoring & Reporting
KJXX maintains comprehensive monitoring to ensure compliance with this AUP:
- Automated delivery tracking: Every message is logged with delivery status, bounce
codes, and complaint flags
- Content review: Template changes require approval from a second authorized team member
before deployment
- Volume anomaly detection: Automated alerts trigger when sending volume deviates more
than 2× from the 7-day rolling average; delivery is paused pending manual review
- Abuse reporting: Reports of spam or abuse can be submitted to abuse@kjxx.com and are investigated within one business day
- Delivery logs: Retained for 90 days for compliance auditing
- DMARC reports: Reviewed weekly; failures investigated within 48 hours
8. Enforcement
Violations of this AUP are addressed through escalating measures:
- Warning: First minor violation results in written notice and corrective guidance
- Sending suspension: Repeated or material violations result in immediate suspension of
outbound messaging
- Account termination: Severe violations (spam, phishing, malware) result in permanent
account termination without refund
- Reporting: Confirmed abuse is reported to relevant ISPs, blocklist operators, and law
enforcement as appropriate
- Legal action: KJXX reserves the right to pursue legal remedies for damages caused by
policy violations
9. Client Responsibility
Each client organization is responsible for:
- Ensuring all users under their account comply with this AUP
- Maintaining accurate, up-to-date recipient information for their project stakeholders
- Promptly reporting any suspected misuse of the messaging functionality to abuse@kjxx.com
- Cooperating with KJXX during abuse investigations
- Educating their team members about acceptable communication practices
Clients are liable for violations committed by their users and may face account-level enforcement actions.
10. Notification Preferences & Essential Messages
KJXX provides a Notification Preferences page where users can
manage their notification categories:
- Essential transactional messages (security alerts, billing receipts, critical service
notifications) — these cannot be fully disabled because they are necessary for account security,
contractual compliance, and safety
- Optional operational updates (daily progress digests, non-critical schedule reminders)
— these can be turned off by the user at any time through the preference center
We do not send marketing emails, promotional content, or newsletters. All outbound messages are directly tied
to operational events within the KJXX platform.
